Portland Rental Cleanout Checklist for Managers

A rental cleanout goes more smoothly when the property manager can show exactly which contents may leave, how the crew will reach them and who can approve the final estimate. Use this checklist for an authorized vacant-unit turnover, a planned apartment furniture pickup or several units needing separate removal scopes.

1. Confirm the authorized removal list

Record the address, unit number and contact responsible for authorizing the work. Separate tenant belongings approved for removal from owner furnishings, appliances and fixtures that stay. Resolve disputed or undecided items before pickup. 2. Photograph each unit and shared area separately

Take wide views of each included room, then closer pictures of bulky or unusual items. Include closets, balconies, storage lockers and parking areas only when they are part of the approved job. Label photos by unit so a hallway pile is not confused with another resident's belongings. Identify mattresses, appliances, dense material and anything hidden behind the visible furniture. 3. Check elevator, entry and loading arrangements

Share the floor, stairs, door codes, carry distance and legal truck-loading location. Confirm building loading hours and elevator reservations with management, including any vendor-document requirements. Keep resident access and exits clear. 4. Flag work outside ordinary hauling

Disclose pests, contamination, sharps, unknown liquids, unusually heavy objects and connected appliances before scheduling. Do not mix questionable materials into bags of ordinary clutter. Utility disconnection, remediation, repairs and detailed cleaning are separate from a standard removal visit. Review accepted items and restrictions and request a scope review when the condition of a unit is uncertain.

5. Approve the full job and coordinate the deadline

Show the crew all included areas during the free onsite estimate. Truck space, weight, carrying access, labor and special handling affect the quote. Several units can require multiple loads; one truckload price is not automatically a complete turnover price. Identify who can approve the onsite total and changes to the item list. Share the cleaner's arrival, inspection or key-handoff deadline. A requested two-hour window concerns crew arrival and remains subject to confirmation; it does not promise completion within two hours.

6. Close out each unit before the next trade starts

Compare the cleared spaces with the original removal list. Check that retained fixtures and owner furnishings remain, and request any needed completion photos before the visit.
